The Kids' Party RSVP Checklist: What to Ask For (and When to Follow Up)

A kids' party RSVP needs more than a yes or no. Here's what to actually ask parents for, and when.

A kids' party RSVP has to do more work than an adult one. You're not just confirming a headcount, you're gathering everything you'll need on the day to keep a room full of children fed, safe and accounted for. Getting the RSVP right upfront saves a dozen follow-up messages later.

Send the invite three to four weeks out

Any earlier and parents forget about it among everything else on their calendar. Any later and the weekend may already be booked with another party, school terms tend to cluster birthdays close together. For the full timeline across other occasions, see how far in advance to send invitations.

Ask for more than a yes or no

  • How many children are actually attending, siblings often tag along and change your numbers.
  • Any allergy or dietary information, ideally collected at RSVP stage, not discovered at the party.
  • Whether the parent is staying or it's a drop-off event, this changes your seating and catering for adults too.
  • An emergency contact number, especially important if it's a drop-off party.
  • Anything the venue requires: swim costumes, closed shoes, or socks-only for an indoor play centre.

Set one deadline, and follow up exactly once

Give a specific RSVP date rather than an open-ended "let us know", and send one reminder a few days before that date to anyone who hasn't replied. Most parents who haven't responded meant to and simply forgot, a short nudge recovers most of them without feeling like nagging.
